Calling All Phonathon Volunteers
Help Blue Cap "Hula in the Moolah" in 2007
The 12th Annual Blue Cap Phonathon will take place on Monday, March 5; Tuesday, March 6; and, Wednesday, March 7 at Modern Drop Forge, 13810 South Western in Blue Island. Every year, Modern Drop graciously offers the use of the facility for Blue Cap's Phonathon. Over the course of three evenings, we will call over 2,500 previous donors of Blue Cap. At least 30 volunteers are needed each evening from 5:30 to 8:00p.m. to work in teams covering the phones, recording pledges, filling out pledge forms, stuffing envelopes, preparing the filled pledge forms for mailing and assisting in volunteer motivation. The volunteers will be divided into two zones with each zone consisting of five callers, five recorders and a runner.
Zones will be competing against each other in bringing in the most pledges. Every volunteer will be competing to win prizes throughout the evening. There will also be a clerical area for those who do not wish to make phone calls. At the end of each evening, all volunteers will be entered into a drawing for raffle prizes. The only rule of the game is that you have fun! So dig out your hula skirt & lei and join us as we strive to "Hula Up" our goal of $35,000.

The Caller:
Review the
pledge form before making the call. Identify yourself as a
volunteer of Blue Cap. Make the "pitch" for a donation. Verify
the address and make any necessary changes. Fill in the amount
on the top and bottom of the pledge form and sign your name.
Work alongside your recorder.

The
Recorder:
Review the
pledge form with the caller. After the call is completed, write
a message on the top form. If the donor does not specify the
amount of the gift, write "unspecified" on the pledge amount
line. Place form on the desk for a runner to pick up. Record
pledge on your zone's tally board.

The Zone
Captain:
Generate
enthusiasm and competition in your zone. Make sure to place
tally mark on zone board for each pledge received. Give callers
and recorders a raffle ticket for each pledge received. Make
sure runners are picking up pledges.

The Runner:
Assist the
zone captain in your area. Pick up filled pledge forms and take
to the clerical assistance area. Help in creating competition in
your zone. Be available for additional duties if needed. Make
sure your team members have everything they need.

The
Clerical Assistant:
Sort forms
according to those to be mailed, credit card pledge, and
refusals. Separate the top & bottom of pledge form to be
mailed. Stuff and seal envelopes. Tally and post pledge
amounts.
